If you’ve been wondering whether your staff and students are actually using Gemini, the answer is sitting right inside your Admin Console. The Gemini Reports page gives you a clear picture of who is using AI, how often, and whether your current licensing is keeping up with demand.
These reports are buried in the console, so a lot of admins haven’t even looked at it. The data here can help you make smart decisions about licensing, professional development, and security, all in about 15 minutes of poking around.

Gemini Org-level reports
The org-level Gemini report is the first place to look. It shows total active users, daily and weekly usage trends, and a breakdown of how Gemini is being used across your domain.
Use the organizational unit filter (top right) to look at staff usage separately from student usage. If Gemini is off for students, your reports will be highly skewed. Filtering by your staff OU gives you a much clearer picture of Gemini use in your district.

A few things to pay attention to:
- Active users: how many of your users are using Gemini at all? This is the number to look at. Scroll down for more insights into HOW they are using Gemini (images, videos, spreadsheet generation, etc)
- Usage limits: This report shows how many users are hitting their daily Gemini ​usage limits​. These are your power-users.
- App vs. Integration: Are your users using the Gemini App or Gemini features inside of Docs, Slides, etc?
- Trends: Use the date range drop down (top right) to toggle between 7, 28, and 90 day report duration to get a sense of your usage trends.
User-level reports: who are your power users?
Once you have a sense of the big picture, drill down to the user-level reports.

This shows you individual usage patterns for every licensed user. The filtering options in the console are limited. I like to export this data to a Google Sheet.
Here’s how I use this data:
- 💪 Identify your power users. These are the teachers who are using Gemini every day. They are your best candidates for an AI Pro upgrade and your best ambassadors for staff PD.
- 🔃 Re-assign licenses. If you purchased AI Pro licenses, are your users actually taking advantage? If not, re-assign these licenses to others.
- 🇽 Identify your non-users. Teachers with a Gemini license and zero activity are not going to magically start using it. They need a nudge.
- 🤔 Spot the curious middle. Users with light, occasional activity are the ones most likely to grow with a little support. A 30-minute lunch and learn can move this group dramatically.
This data also helps you make a case to leadership about licensing upgrades, device purchases (hello ​Googlebook​!), and professional development initiatives.
What low adoption is telling you
If your Gemini adoption numbers look low, the most common reason isn’t technical, it’s training. Teachers don’t use what they don’t understand.
Teachers are busy. They are not going to spend their planning period exploring a new tool on the off chance it might help. They need someone to show them three specific things Gemini can do that will save them time this week.
What about ChatGPT?
Gemini isn’t the only AI tool your staff might be using. Here’s how to get a general sense of how many teachers are using ChatGPT.
Navigate to: Security > Access and data control > API controls > Manage App Access,
Search or look for “OpenAI”. This will show you how many users in your domain have connected their Google account to ChatGPT.
That number is your baseline for outside AI use. If 200 of your teachers have connected ChatGPT to their Google account and only 40 are actively using Gemini, your users are voting with their feet. They want AI, they just aren’t getting what they need from the tools you’ve provided.

This isn’t a reason to block ChatGPT (though that’s a separate conversation). It’s a reason to invest in Gemini training so your district’s data stays inside the tools you control.
